Who we are

This website is run by Cool Events, a photo booth hire business in Melbourne, Victoria. In this policy "we" and "us" means Cool Events. We handle personal information in line with the Australian Privacy Principles in the Privacy Act 1988 (Cth).

What we collect

We only collect what we need to run your booking and answer your questions.

• When you request a booking: your name, email, phone number, event date, event type, start time, venue location, the package and extras you choose, any voucher code, and anything you write in the message box.
• When you contact us: your name, email, phone number if you give it, and your message.
• At your event: the photos your guests take in the booth, and the phone numbers or email addresses guests type in to have their photos sent to them.
• When you visit this site: basic technical information such as the pages you view, your browser and device, and your IP address, collected through the Meta Pixel described below.

How we use it

• To reply to you, check availability, confirm your booking and agree the final price.
• To set up and run the booth at your event, and to send photos to your guests and to your private online gallery.
• To keep records of bookings and payments.
• To measure how our Facebook and Instagram ads perform, and to show our ads to people who have visited this site.

We do not sell your personal information, and we do not use it for anything unrelated to your booking or enquiry.

Your event photos

Photos taken in the booth are sent to the phone numbers and email addresses guests enter at the booth, and to a private online gallery for your event. The gallery link is shared with you, and you decide who else receives it.

We only use photos from your event on this website or on social media with your permission. If you see a photo of yourself that you would like removed, contact us and we will take it down.

Who we share it with

We use a small number of service providers to run the business. They handle your information only to provide their service to us:

• our website host and database provider, where booking and contact details are stored;
• our email provider, which delivers booking and enquiry notifications to us;
• the service we use to send photos to guests and host event galleries;
• Meta (Facebook and Instagram), through the Meta Pixel.

Some of these providers store data outside Australia, including in the United States. We choose providers that protect personal information to a standard similar to the Australian Privacy Principles. We may also disclose information where the law requires it.

Cookies and the Meta Pixel

This site uses the Meta Pixel, a small piece of code from Meta that uses cookies. It tells us which pages were visited and when a booking request is sent, so we can see which of our ads are working. It does not send us your name or contact details, and we do not send those to Meta.

You can block or clear cookies in your browser settings, and you can control the ads you see in your Facebook or Instagram ad preferences. The site still works without cookies.

How we keep it safe

Your details are stored with reputable providers, and only the people who run Cool Events can see them. We keep booking and contact records for as long as we need them to deliver your booking and meet our record-keeping obligations, and then delete them.

Seeing or correcting your information

You can ask to see the personal information we hold about you, ask us to correct it, or ask us to delete it. Contact us using the details below and we will respond within a reasonable time, usually within 30 days.

Complaints

If you are worried about how we have handled your information, please tell us first and we will try to put it right. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.

We may update this policy from time to time. The date at the top shows when it last changed.
