About these terms

These terms apply when you request or make a booking with Cool Events, a photo booth hire business in Melbourne, Victoria. In these terms "we" and "us" means Cool Events, and "you" means the person making the booking. Nothing in these terms limits your rights under the Australian Consumer Law.

Booking requests

Sending the booking form is a request, not a confirmed booking. It costs nothing and does not hold the date. Your booking is confirmed once we have agreed the date, venue, start time and price with you and received your A$20 deposit.

Please check the details you send us. If anything changes, let us know as soon as you can.

Prices and payment

• Prices are in Australian dollars and are the prices shown on this website when you send your request.
• The total shown on the booking form is an estimate. We confirm the final price with you before your event.
• A deposit of A$20 secures your date. We will tell you how to pay it when we confirm your booking.
• The rest of the price is paid in cash on the day of your event, unless we agree another arrangement with you in writing.
• Start times from 1:00 AM to 7:59 AM carry a late-night rate of A$25 per booked hour.
• Setup and pack down are included. Delivery is not included in the package prices or the booking form total. We quote it separately based on where your venue is, and confirm it with you before your booking is confirmed.

Vouchers and offers

Voucher codes and offers apply only on the terms and dates stated with them. One voucher can be used per booking, vouchers cannot be exchanged for cash, and they cannot be combined with other offers unless we say so.

Changes and cancellations

If you need to change the date, time or package, contact us and we will do our best to accommodate it, subject to availability.

Your A$20 deposit is refunded if you cancel at least 2 weeks (14 days) before your event. If you cancel less than 2 weeks before your event, the deposit is not refunded.

If something outside our control stops us attending, such as illness or equipment failure, we will tell you as soon as possible and try to arrange an alternative. If we cannot, we will refund your deposit in full.

Your venue

So we can set up safely, please make sure your venue provides:

• a clear, level and dry area of at least 3 m by 3 m, with a ceiling height of at least 2.44 m for the backdrop;
• one standard power outlet within 10 metres of the setup area;
• access to the space 45 to 60 minutes before your booking starts;
• any permission the venue needs for a photo booth to be set up.

Tell us before the day about stairs, long carries from parking, or venue access times. See our space requirements for the details. If the space is unsafe or unsuitable on the day, we may not be able to set up.

Booking time

Your booked hours are the time the booth is running for guests, starting at the agreed start time. Setup before and pack down after are not counted. If you would like to extend on the night, we will do so if we can, at our standard hourly rate.

Equipment and conduct

The booth, lighting, backdrops and props remain our property. Please look after them and ask your guests to do the same. If equipment is damaged deliberately or through misuse, we may ask you to cover the reasonable cost of repair or replacement.

We may pause the booth if it is being used in an unsafe way, or if our staff or equipment are at risk.

Photos

Photos are delivered digitally by SMS and email and to your private online gallery. Unlimited instant prints are included with Print Experience, or as an extra on a custom build. Please let your guests know a photo booth is operating at your event.

We only use photos from your event for our own promotion with your permission. How we handle photos and personal information is set out in our privacy policy.

Our responsibility

Our services come with guarantees that cannot be excluded under the Australian Consumer Law. Apart from those, and to the extent the law allows, our liability for any loss arising from a booking is limited to the price of that booking, and we are not liable for indirect or consequential loss. We are not responsible for photos that fail to reach a guest because a phone number or email address was entered incorrectly.
